This is always a tricky question. Generally, I only rent for a performance and associated rehearsals. For some festivals, I have a blanket rental fee and extensive contract for the time period. Once I rented a harpsichord by the month, to a gentle artist who was studying harpsichord, somebody local when I lived in Miami. I have to say, that I have turned down a good many requests for rentals that were not close by, as there are too many potential issues.

I believe your fee is good for an individual if the instrument stays in one location, but do write up a contract to protect you in case of any problems, and establishing financial responsibility for damage as well as your requirements for climate control, whether the instrument can be moved to concert venues, who will care for it, and so forth. It all seems a bit negative and intrusive, but it is far better to be prepared for the worst possible.

If you deliver the instrument, you should be paid for that, and personally I prefer that to unexperienced folks moving instruments in too small of vehicles......which I have seen done with a just repaired instrument as the owner crammed it in too hard too fast into too small a vehicle...
